We are looking for a dynamic and detail-oriented Project Coordinator to join Y NSW’s transformation journey. Reporting directly to the Program Director, Transformation, you will play a vital role in driving the planning, delivery, and reporting of complex, high-impact transformation projects. This is a unique opportunity to help shape the future of Y NSW, ensuring our programs and initiatives are well-governed, efficient, and aligned with our North Star Vision.

 

About Your New Role:


As the Project Coordinator, you’ll be a key player in making sure our transformation projects run smoothly. From managing resources and timelines to ensuring flawless communication between teams, you’ll be the go-to person who keeps everything moving forward. This role is all about ensuring our transformation efforts are on track, well-governed, and designed to make a real difference.

 

Key Responsibilities:


Project Planning and Execution

 

  •  Assist in creating and managing project plans, teams, timelines, and budgets to ensure projects meet strategic objectives.
  • Coordinate project tasks, resources, and internal/external teams to deliver outcomes on time and within scope.
  • Ensure every project phase is tracked and executed with precision, documenting progress as required.

 

Administration & Reporting

 

  • Serve as the main point of contact for project stakeholders, ensuring clear and effective communication across the organisation.
  • Schedule, facilitate, and document project meetings, following up on actions and reporting progress.
  • Prepare project-related documents, such as status updates, reports, and governance packs for senior leadership and board subcommittees.
  • Provide regular updates and visual dashboards to track project status and identify key risks or issues.


Quality & Risk Management

 

  • Identify, document, and track project risks and issues, supporting the development of mitigation strategies.
  • Ensure project deliverables meet quality standards and stakeholder expectations.
  • Assist in post-project reviews and evaluations to support continuous improvement efforts.

 

About You


You are a highly organised, proactive professional with a passion for driving transformation. With a strong eye for detail and a flexible approach, you thrive in environments where you can build structure from ambiguity. You are adept at managing multiple priorities and enjoy working collaboratively with teams to achieve project outcomes.
You excel at communication, whether creating governance materials, coaching project managers, or providing reports to senior leadership. With experience in both traditional and agile methodologies, you know how to balance governance with the need for agility.


What We Would Love You to Have

 

  • Degree or Certification in Business Administration, Project Management, or a related field.
  • 3+ years of experience in a project coordination role gained in transformation projects; experience gained in the Financial Services sector will be highly regarded.
  • Highly Proficient in project governance and reporting, as well as using Microsoft Teams apps and visual project management technologies like Kanban.
